Welcome to the first tutorial in a series going over the features and functions of hyTours.

In this tutorial we will be showing the process of booking a tour from the prospect’s perspective which will cover:

  • How a Prospect Schedules a Tour
  • How a Prospect Adds their Tour to their Online Calendar
  • How a Prospect Gets Directions to your Property
  • The Confirmation Email
  • How a Prospect Reschedules a Tour
  • How a Prospect Cancels a Tour

 

How a Prospect Schedules a Tour

Let’s go over how a prospect schedules a tour from your property’s website. When they click the button labeled “Schedule a Tour”, they will be taken to the scheduling page where they will choose a date and time for the tour, and fill out some customer information fields.

Once they’ve clicked “Schedule” they will then be able to add the appointment to their various calendars, get directions to your property, and also see your property’s location on the map.

How a Prospect Adds their Tour to their Online Calendar

When a prospect clicks the button to add their appointment to their online calendar, they will be taken to the page (in this example their Google account page) to save the appointment. The details of the appointment will now be available to them in their Google calendar.

 

How a Prospect gets Directions to your Property

When a prospect chooses to get directions from their appointment confirmation page, they will be taken to a Google Maps page that will automatically calculate the trip they will take to your property from their current location.

 

The Confirmation Email

After your prospect has made their tour booking, they will receive an automated email confirming the appointment. The email details the appointment, allows them to manage it, and reiterates the ability the prospect has to add the appointment to their online calendars.

 

They will also receive an email the night before their tour as a reminder.

How a Prospect Reschedules a Tour

In the body of the automated email the prospect receives after booking a tour, they will have the option to reschedule their appointment should they need to.

If they click on the button to reschedule they will be taken back to the property’s website scheduling page where they will click the “Reschedule” button.

The hyTours system already will know the prospect’s name and information and will auto-fill the fields, so all that must be done by the prospect is to choose a new date and time for their rescheduled appointment.

And like the original booking they made, they will see the details of their new appointment, and have the ability to update their calendars to reflect the new time of the rescheduled appointment.

How a Prospect Cancels a Tour

In the same way that a prospect would reschedule their tour through their confirmation email, they are also able to cancel their tour.

This will take them back to the scheduling page where they will confirm their cancellation. When the appointment is cancelled, the prospect will have the option to schedule a tour again should they change their mind.
